Ventia, in collaboration with Healthscope, is looking for an agile Administrator to join our team at the Northern Beaches Hospital. This is a full time permanent role where you’ll provide key administrative support and liaise with internal and external stakeholders to ensure deliverables are met.

What you’ll be doing:

  • Variety of administrative duties, including responding to customer inquiries via phone and email, managing the central inbox, overseeing the induction process for visitors and contractors, coordinating site access, and maintaining inventory of stationery and uniforms.
  • Manage the QFM (Quality Facility Management) maintenance system including assigning work orders to internal/external teams for completion, updating work order and asset status and monitoring active work orders to completion.
  • Assist in preparing proposals for submission to our client.
  • Coordinate and administer contract delivery meetings, including agenda coordination and minute taking.
  • Assist the Project Director with handling scheduling, communications, meeting coordination and general administrative tasks.

About You:

  • Experience with or exposure to formal letter writing is highly preferred. This includes drafting proposals, formal documents, company policies or procedures, business communications, and similar materials.
  • You are technologically savvy and proficient in Microsoft Suite, particularly Word and Excel.
  • Possess strong verbal and written communication skills with the ability to build effective relationships with both internal and external stakeholders.
  • An ability to adapt in a complex environment, strong attention to detail and can work independently. 
  • Police check, working with children check, and reference checks are required.
