About the role:

  • Scheduling Board and Committee meetings and maintaining an annual calendar of upcoming requirements.
  • Liaising with relevant stakeholders to obtain, review, amend and distribute Board and Committee papers.
  • Proof reading and formatting and record keeping of minutes, papers and reports from the Board Committees and the Board.
  • Compiling and distributing the Board and Committee packs and distributing ahead of monthly Board and Committee meetings.
  • Preparing extracts of the Board and Committee meeting outcomes for distribution.
  • Arranging meeting venues, catering and ensuring electronic equipment is available and functioning.
  • Scheduling meetings and communicating changes.
  • Maintenance of the Unitywater Register, including maintenance of the register of decisions of the Board and Committees.
  • Coordination and administration of the Board’s annual Strategy Meeting and annual site visit.
  • Administrative assistance to the General Counsel Company Secretary, including proof reading, formatting and preparing correspondence and documentation, organising meetings, prioritising diary appointments, filing and managing email.
  • Confidential and timely correspondence management.
  • Bring-ups and diary schedules to facilitate compliance with reporting timeframes and action completion dates.
  • Assist with credit cards, purchase orders, records of external legal spend and records concerning budget expenditure.

About you:

  • Qualifications and/or experience as an Executive Assistant or in a senior secretarial role.
  • Demonstrated experience in providing a high-quality standard of professional administrative and secretarial support at an executive level within a dynamic, customer-focused business environment, displaying a high degree of judgement, initiative and confidentiality on highly sensitive issues.
  • Demonstrated ability to work autonomously, be self-motivated, manage time to meet strict deadlines, respond to set and changing priorities and balance competing (and sometimes conflicting) demands in a changing environment.
  • Sound analytical, research and problem-solving skills, including the ability to identify contentious and emergent issues and where appropriate develop potential recommendations and/or implement options for their resolution.
  • High degree of accuracy in proof reading and formatting skills.
  • Advanced written communication skills demonstrating a high level of attention to produce correspondence at an executive level that addresses social and business customs and protocols.
  • High level interpersonal skills including professional telephone etiquette with the ability to build relationships, manage requests and effectively liaise with all levels of internal and external customers.
  • High level of proficiency and advanced skills in the use of a wide range of applications including Microsoft Word, PowerPoint, Excel, data base maintenance systems and the use of collaborative record and document handling packages (e.g. Alfresco).
